About The Role

The Opportunity:

Mantis Space is seeking a Facility Operations Coordinator to support the daily operations of a growing R&D facility. This role is essential to maintaining a functional, organized, and efficient workplace, ensuring that teams have the resources, environment, and operational support needed to perform at a high level.

You will oversee day-to-day office operations, coordinate logistics, manage shipping and inventory, and support facility upkeep. Working closely with the Business Operations Manager, engineering teams, and on-site leadership, you will help ensure the facility runs smoothly and scales effectively as the organization grows.

This is a hands-on role ideal for someone who thrives in a fast-paced environment and brings a strong sense of ownership, adaptability, and problem-solving.

What You’ll Do:

Office & Administrative Operations

  • Manage daily office operations, including supplies, vendor coordination, and common area upkeep
  • Coordinate catering, team meals, and on-site hospitality for employees and visitors
  • Support scheduling, internal events, and general administrative needs across the facility
  • Serve as the primary point of contact for facility and operational requests

Shipping, Receiving & Inventory

  • Manage inbound and outbound shipments, including receiving, logging, and internal distribution
  • Maintain accurate inventory records for supplies, equipment, and facility materials
  • Coordinate with vendors to ensure timely and accurate deliveries
  • Support procurement activities, including purchase order tracking and invoice coordination

Facilities Support & Maintenance

  • Perform light facility maintenance, including furniture assembly, basic installations, and workspace setup
  • Conduct routine walkthroughs to identify issues and coordinate resolution
  • Support office layout changes and facility reconfigurations
  • Maintain a clean, safe, and organized working environment

What you Bring:

Required Qualifications

  • 2+ years of experience in operations, facilities coordination, logistics, or office management
  • Strong organizational skills with the ability to manage multiple priorities
  • Comfort with hands-on tasks, including lifting, assembling furniture, and light maintenance
  • Ability to lift up to 50 lbs
  • High level of initiative, accountability, and reliability
  • Strong communication and interpersonal skills across cross-functional teams

Preferred Qualifications

  • Experience in a lab, R&D, manufacturing, or technical facility environment
  • Familiarity with shipping and logistics platforms (e.g., FedEx, UPS, freight vendors)
  • Exposure to facilities coordination, vendor management, or space planning
  • Forklift certification or willingness to obtain one
